Receiving LTL Freight Shipments: Inspection Best Practices

Delivery Inspection Checklist
1. Verify the Shipment
Before signing any paperwork, confirm that the correct number of pieces has been delivered and matches the Bill of Lading.
2. Inspect for Visible Damage
Check the shipment for signs of damage, including:
- Crushed corners
- Broken pallets
- Leaning or shifted loads
- Torn shrink wrap
- Missing or replaced company logo tape
3. Take Photos Before Unloading
If you notice damage:
- Take photos immediately
- Capture the shipment while it is still on the truck
- Include the driver and overall shipment condition when possible
4. Document Damage on the Bill of Lading
Clearly describe any visible damage on the Bill of Lading before signing. Be specific about what you observe.
5. Obtain Driver Acknowledgment
Ask the driver to sign or initial the damage notes to acknowledge the shipment's condition upon delivery.
6. Accept the Shipment
Do not refuse the shipment. Accepting it with documented damage notes helps streamline the claims and replacement process.
7. Retain All Packaging and Damaged Parts
Keep all packaging materials and damaged products until the claim has been fully resolved.
